Indexing Instructions for the AIP
Thank you for volunteering your time and effort to help make the
Aufbau Indexing Project a success. Below are the guidelines for the indexing
work. For a printable version click here.
Before starting, please make sure that you have a template with the
following column headings: Last Name, LN2, First Name, FN2, Maiden Name, Event,
Date of Event, German Origin and Date of Issue
If you do not have the current template you can download it here

What should be indexed?

All individual notices (births, bar mitzvah, marriages,
engagements, obituaries, etc.)

All names in the Personalia section
-
All names in the Es trafen ein
section
What information should be entered into which fields?
- Last Name and LN2:
Enter the last name as it is given in
the notice in the Last Name field.
- For Marriages, Engagements and
Wedding Anniversaries: Use the Last Name
field for the husband's last name. Enter the wife's surname in the
Maiden Name field.
- In some notices you will see that an individual adopted an anglicized
version of his/her original surname, but the original is included
next to it in parenthesis. In those cases use the
LN2 field for the name in the
parenthesis.
- Example: Willy (Flegenheimer) Flegg
- Last Name: Flegg
- LN2: Flegenheimer
- If a woman was married more than once and both her married surnames are
given, put the one at the time of the event in the Last
Name field and put the former one in the LN2
field.
- First Name and FN2:
Enter the first name as it is
given in the notice in the First Name field.
- For Marriages, Engagements and
Wedding Anniversaries: Use the First
Name field for the husband's first name. Enter the wife's first
name in the FN2 field.
- In some notices you will see that an individual adopted an anglicized
version of his/her original first name, but the original is included
next to it in parenthesis. In those cases insert the name the same
way into the First Name or FN2 field
according to the above rules.

- Maiden Name:
Use this field to enter a woman's maiden name when one is present.
- In German notices it will often be proceed by
geb. (née).
- For Marriages, Engagements and
Wedding Anniversaries: Use the Maiden Name field for the wife's last name.
- Event: ONLY Enter one of the
following letter codes:
B = Birth |
E = Engagement |
O = Obituary (Death) |
X = Birthday |
M = Marriage |
D = Danksagung (Thank you) |
R = Bar Mitzvah |
A = Anniversary |
N = In Memoriam |
T = Bat Mitzvah |

Date of Event: Enter the
date of the event that the notice is announcing. Use the
DD-MMM-YYYY format.

German Origin: Enter the
place name where the individual came from in Germany, Austria or then
Czechoslovakia.

Copy the punctuation for each place as
it appears in the notice.

Separate multiple places with an
ampersand (&) ***This
is a change***

For Birth and
Bar Mitzvah notices, enter the parents'
places of German origin in this field. [The names of the
parents are however omitted]

Date of Issue: Enter the
date the issue that you are indexing was published. Use the
DD-MMM-YYYY format.
Should the place of residence in the United States, Israel, or England, etc.
be included?
Should the parents'
names be included for any of the notices?
Should the
names of the mourners or other family members be included?
How should umlauts be handled?
